- Working with the Studio Manager to ensure the smooth running of the building - including overseeing and keeping records of facilities maintenance, meter readings and utilities, reporting and acting on maintenance issues, liaising with cleaners on specific requests, ensuring the cleaning schedule is adhered to, and taking steps to ensure the building and immediate outdoor area is a tidy, safe environment.
- Supporting set-up/takedown of rooms, moving chairs and tables for meetings and events, arranging room bookings, looking after supplies and refreshments, keeping kitchens stocked for teas and coffees and keeping communal areas tidy and looking well.
- Being the first point of contact in the building for crew and visitors; welcoming visitors, distributing mail, answering phone and email queries, responding to crew requests and maintaining the building’s security and access processes.
- Helping to maintain a high standard of health and safety compliance, including floor walks, fire alarm tests, first aid box re-stocking, maintaining logs and records, identifying and reporting on hazards and incidents.
- Assisting HR with administering tenancy management and key provision for crew houses, responding to tenant enquiries or issues and arranging for maintenance, laundry or house cleaning to be carried out between tenancies if required.
- Inducting new starters and communicating with crew on the studio’s health and safety, fire safety and sustainability policies and processes.
- Supporting and assisting in the delivery of sustainability and carbon reduction initiatives and information sharing as part of the Studio’s sustainability planning.
- Working with the Operations team to organise and deliver events and gatherings for the crew and externally, and supporting studio culture and wellbeing.
- Supporting the Operations team with administration duties as required.
- Supporting the different productions with any reasonable requests related, but not limited to, the studio buildings; crew houses; crew events; crew communications.
- Any other ad hoc duties as required.
- 2 years experience in a relevant or similar role
- Strong organisational skills with attention to detail
- Administration experience and working knowledge of Google Docs
- Great written and verbal communication skills
- Multitasking and good time management skills
- Hands-on practical approach to building management and day-to-day maintenance
