Flexibility is built into how we do things, offering increased availability to patients means that we have a working pattern to suit everybody.Primary duties of a practice manager who also performs nursing duties in a dental practice will include:
  • Managing the daily operations and administrative tasks of the dental practice, including scheduling patient appointments, overseeing billing and insurance claims, and maintaining patient records.
  • Overseeing infection control protocols to ensure the practice complies with all state and federal regulations.
  • Managing staff, including hiring, training, and evaluating performance to ensure that employees carry out their duties to the highest standards.
  • Developing and implementing policies and procedures that improve patient care, safety, and satisfaction while maximizing practice revenue.
  • Working collaboratively with the dentists to create treatment plans that meet the unique needs of each patient.
  • Staying up-to-date on changes in the dental industry, including new technologies, treatments, and regulations.
  • Developing and maintaining relationships with vendors and suppliers to ensure that the practice has access to the latest technologies and supplies.
  • Ensure all of your team is providing exceptional customer service to patients.
Recruitment:
  • Notifying HR when you need a job advertisement posted
  • Filtering Occupop to start conducting interviews
  • Induction of new employees / dentists
  • Onboarding new employees - Set up on Deputy and Exact
  • Individual performance appraisals
  • Managing conflicts / grievances / disciplinary issues - Head of people to assist with this
  • Training of new front office and auditing as per receptionist operations manual
  • Prepare new starter forms and updating in hiring tracker
Customer Service:
  • Liaising with dentists to manage complaints
  • Ensuring practice cleanliness
  • Point of contact when receptionist unable to deal with patient query/complaints
  • Monitor reviews on social media platform and ensure usage of rapidreviews.ie
Managerial Role:
  • Staff rosters, holidays and approval of timesheet on Deputy
  • Monitor sick leave (including return to work)
  • Communicate with head IT to resolve technical issues
  • Audit cash handling – ensure cash being lodged everyday, alongside daily cash monitoring sheet
  • Ensure all staff and dentists follow company rules
  • Take responsibility for all internal external audits – HIQA / Dental council compliance
  • Meet with the regional manager to review the performance of staff
  • Attend weekly manager meetings
  • Updating team on company changes/updates and arrange staff events (ie. fundraisers, birthdays)
  • Practice dental equipment maintenance
  • Holding staff performance reviews
  • Ensure new staff members all fully training (this includes: Front of house, nursing and dentists)
Financial Responsibilities
  • Present weekly KPI at practice manager meetings
  • Daily use of MPC to keep track of practice reports
  • Calculate whether bonus eligible for team
  • Update payroll tracker bi weekly for staff payroll
  • Be familiar with and operate Deputy timekeeping software
  • Review PRSI payments and ensure these are being accurately paid
  • Review LAB bills for individual dentists
  • Calculate and keep track of GOCARDLESS direct debit payments once per week update software and reconcile with go cardless vs patients
  • Keep excel tracker of GOCARDLESS patient update once weekly
  • MUST GO ON CONTINUOUS BUSINESS EDUCATION – MUST PROACTIVELY PURSUE THIS . Will be paid by company assess own educational/training needs and explore opportunities for maintaining and updating own professional knowledge and skills
  • Track PRSI eligibles on welfare.ie vs exact
  • Consumable orders - place monthly order and ensure the practice is on budget
General reception & nursing duties :
  • Most of the work time will be spent at the front desk unless the practice is going through a growth phase or strategic planning phase
  • Training on call scripts - working with call centre manager to update on dentist changes (ie. procedures and timings)
  • Day to day reception duties as per receptionist manual
  • Motivating you FOH team to ensure they are providing 5* patient care and service
  • Using tools like Care Manager to ensure the appointment diaries are at full capacity
  • Nursing shift one day a week - to keep in practice and monitor clinical teams performance
  • Consumable ordering - place order once a month and ensure stock is tracked on Sowiengo
  • Office ordering - overseeing spending of office orders and expenses
  • Any other duties which may be reasonably requested.
