The Temp - Admin Assistant acts as an overall company receptionist and supports company operations by providing general administrative duties to the Irish Management Team.Duties include;Answering the main reception phone, diverting to relevant parties, or taking and distributing messages for the appropriate personCo-coordinating office operations including greeting and directing visitors, candidates, and vendors.Anticipates the needs of leaders and teams in order to manage and problem solve all logistics.Coordinate meetings, send Outlook lunch invites, order lunch, handle invitations, and other related responsibilities as required.Create and maintain expense reports for office Purchase Card.Contributes to team efforts to achieve operational efficiency and a positive working environment.Sourcing new stakeholders to supply office eventsPoint of contact for building facility teamPerforms Administrative duties as needed. (i.e. sending courier packages, handles invoices; performs general office duties including copying, filing and faxing; and creation of documents.)Performs other administrative tasks as requested by the Site Lead and Office Manager or other members of the team.Orders office/kitchen supplies, making payments as required.Assisting in coordinating company eventsActs as a point person for all new employees within the department(s), coordination with IT, Facilities, and Procurement. Coordinates with space planning for new hires or other space needs.Provides backup support and coverage for other administrative coordinators, and Office Manager.Education and Experience:Detail oriented; has excellent time management; is flexible, helpful, quick learner, proactive and courteous.Confident, self-motivated, able to use initiative in situations.Mature attitude with a sense of fun.Able to manage projects with modest supervision and handle/prioritize multiple tasks and requests simultaneously.Ability to support a number of different managers working in a cross functional team.Strong interpersonal and communication skills (written and oral); able to maintain confidentiality of information.High level of technical proficiency in computer and phone systems (e.g. iPhone & FaceTime, MS PowerPoint, Outlook, Excel, Word, SharePoint, meeting room reservations.Does this sound like you?
