Main Job Tasks and Responsibilities: Answer, screen and transfer incoming phone calls Open, sort and distribute incoming correspondence Receive and direct visitors and clients General clerical duties including photocopying, fax and mailing Maintain electronic and hard copy filing system Handle and direct requests for information and data Prepare and modify documents including correspondence, reports, drafts, memos and emails Schedule and coordinate meetings, appointments and travel arrangements for Development Worker and Management Committee. Attend Launches and assist at Award Presentations Prepare agendas for meetings and prepare schedules Transcribe and distribute minutes of meetings Maintain office supply inventories Coordinate maintenance of office equipment Coordinate and maintain records for petty cash and input data for Accounts system. During quiet periods to assemble 'Little bags of Hope' for distribution at Health Promotion/ Education events Computer Skills an advantage to further training within the role As there is a lot of telephone work a good command of the English Language is required.
