- Provide administrative support including handling correspondence, diary management, confidential matters, and meetings.
- Assist with organising and supporting events, arranging travel and accommodation for guests, drafting agendas, and circulating documents.
- Offer administrative support to the Administrative Officer, edit reports and agendas, handle meetings, and provide cover during absences.
- Prepare documentation for new area representatives and manage inductions.
- Review and process expense claims, checking for errors and forwarding for approval.
- Manage recruitment administration for vacancies, coordinating documentation, candidate contact, and venue logistics.
- Attend annual events
- Sending communications to relevant committees and individuals.
- Compiling motions for discussion from draft to final format.
- Preparing office supplies (paper, rule books, stationery).
- Preparing documentation and templates for circulation to delegates.
- Assembling the final agenda workbook for officials.
- Record speakers and voting outcomes on motions.
- Prepare reports for the plenary session and after Congress, such as preliminary and final reports on motions, and summaries of actions taken.
- Organise and maintain files and databases securely and confidentially, covering materials such as legal advice, circulars, templates, and contact lists.
- Review and maintain the library.
- Manage links and payments related to organisational affiliations, representation on stakeholder groups, and supported organisations
Essential Experience, Knowledge and Skills:
- Strong skills and experience with IT systems such as Office 365 and SharePoint
- High level of experience with customer relationship management systems
- Experience in organising and managing events
- Skills in taking and editing minutes
- At least 3 years' experience in a similar role
- Full clean driving license and access to a vehicle for travel
- Availability to attend annual events and other events outside normal working hours as needed
- Self-motivated
- Good leadership abilities
- Able to work well both independently and as part of a team
- Strong problem-solving skills
- Good interpersonal and communication skills
- Commitment and dedication to the organisation's goals and values
