A full overview of TUH is available on www.tuh.ie/about usWe are seeking a highly organised and proactive Personal Assistant to support the CEO Office of Tallaght University Hospital (TUH).The ideal candidate will be adept at managing a high volume of correspondence, scheduling, and administrative tasks while thriving in a fast-paced, high-pressure healthcare environment.
This role requires excellent communication skills, discretion, and the ability to prioritise effectively to ensure smooth operations at executive level.
This role demands adaptability and a calm, composed approach to working in a busy executive office within a hospital setting, where priorities can shift rapidly. The successful candidate will demonstrate a strong commitment to supporting the leadership team and contributing to the overall efficiency and success of the hospital.Purpose of the role:
- Report to the Executive Assistant to the Chief Executive Officer.
- Responsible for providing administrative support to the Office of the Chief Executive.
- Have an appreciation of the sensitive and confidential nature of the CEO’s office.
- Adaptable to changing priorities and work efficiently under pressure to meet tight deadlines.
Key Duties and Responsibilities
- Provide clerical and Secretarial support to the CEO to include:
- Provide administrative support for the office of the CEO as directed by EA to CEO.
- Coordinate and manage complex calendars, scheduling meetings, preparing and circulating relevant documentation as well as arranging venues and catering.
- Attend meetings, take and prepare minutes as required.
- Liaise with other departments and outside agencies where applicable.
- Manage the handling of and responses to Parliamentary Questions that come in through the CEO Office.
- Maintain the SAP system for the office, including raising Purchase requisitions and ensuring vendors are paid in a timely manner.
- Monitor mandatory training compliance across relevant staff, track training completion rates, and follow up with staff to ensure timely completion.
- Commitment to continuous professional development including completion of relevant internal training programmes available through our Centre for Learning & Development Prospectus.
- Completion of relevant training and availing of supports in the Leadership Academy including coaching, mentoring and leadership development as applicable.
- Obtained at least Grade D3 in five subjects in the Leaving Certificate Examination (higher, ordinary, applied or vocational programmes) or equivalent
- Have passed an examination at the appropriate level within the QQI qualifications framework which can be assessed as being of a comparable to Leaving Certificate standard or equivalent or higher i.e. Fetac Level 5
- Have satisfactory relevant experience which encompasses demonstrable equivalent skills
- 3 years relevant administration experience.
- Practical experience of use of computer packages to include Microsoft Office i.e. Word, Excel, Outlook, PowerPoint and other related packages
- Exceptional organisational and time-management skills
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other
- 3rd level qualification equivalent to Fetac level 6 in relevant field
- Proven experience as a Personal Assistant preferably within a healthcare or similarly fast-paced environment.

- Remuneration is in accordance with the Department of Health Consolidated Salary Scales, 1st March 2025:
- The appointment is half time, permanent and pensionable.
- The annual leave entitlement is 29 working days per year pro rata. The leave year runs from 1st April to the 31st of March each year
- Normal working hours are 17.5 worked over 5 mornings Monday-Friday. Your contracted hours of work are 8am to 12pm.
- Liable to change over 7 days to meet the requirements for extended day services in accordance with the terms of the Framework Agreement
