- Plan and deliver events from concept through execution and follow-up
- Define event scope, objectives, and timelines in collaboration with clinical study teams
- Conduct post-event evaluations and report on outcomes
- Coordinate with external vendors
- Serve as point of contact for internal and external stakeholders, including sponsors, investigators, and healthcare professionals
- Negotiate contracts and manage service level agreements
- Manage logistical details including venue booking, travel arrangements, equipment setup, and materials distribution
- Ensure events run smoothly and are delivered to high standards
- Develop and monitor event budgets
- Ensure all expenses align with organizational policies and financial controls
- Maintain timely and professional communication across all stakeholders
- Prepare and distribute event materials, agendas, and promotional content
- Maintain comprehensive event documentation including risk assessments, safety protocols, and management plans
- Ensure compliance with Good Clinical Practice (GCP), institutional policies, and applicable regulatory requirements (e.g., FDA, EMA)
- Computer proficiency and experience using a variety of software packages (e.g. Microsoft Word, Excel, Power Point, Project)
- Strong communication skills; able to communicate clearly and succinctly with team members and leadership
- Demonstrated ability to work effectively cross-culturally as well as across regions/geographies with strong customer service skills
- Strong teamwork and interpersonal skills including demonstrated ability to flex to changing business needs, attention to detail, strong self-management, organizational skills, and problem solving
- Ability to maintain confidentiality
