Job Title: Office Administrator/Receptionist Hours/Week: 19.5 (mornings) Doras are seeking an office administrator who will provide administrative support at their main office and direct support centre in Limerick City. The main tasks of the job are: • Open up premises at the start of the day, de-activate alarm and make all necessary preparations to receive clients. • Ensure an effective and efficient reception service is provided to clients and any other visitors to Doras. This involves dealing with general enquiries, providing information, and explaining procedures to visitors, and making appointments for clients. • Ensure that clients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner. • Support volunteers on phone answering duty. You will also be required to receive and make telephone calls, divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery. • Take action on requests for further information/client contact information etc. ensuring completion of all associated paperwork. • Ensure that all new clients are registered onto the computer system promptly and accurately • Process incoming and outgoing mail • Manage the Doras info and reception emails • Complete other daily, weekly and monthly core tasks, including the ordering of stationery and other essential supplies, to support the smooth running of the office • Ensure records are filed correctly, to ensure GDPR compliance • Assist with the day to day operation in the office • Provide administrative support to CEO and the management team • Assist with the set up and delivery of events, classes and group activities • Perform other additional administrative duties as requested The successful candidate will be expected to maintain strict confidentiality of personal information about Doras clients and adhere to all Doras policies and procedures. Experience working in an office environment is desirable, preferably in a receptionist role. Good written and spoken English, and good computer skills, are essential. However, support and training will be provided across all areas of the work. Additional language skills and having lived experience as a refugee or migrant are also advantageous. It provides direct support to asylum seekers, refugees and migrants, and campaigns for the promotion and protection of their rights.
