- Maintain a warm, professional, and welcoming reception environment.
- Handle incoming calls, emails, enquiries, and visitor management with confidence and care.
- Coordinate viewings and support prospective residents and their families with professionalism.
- Keep pre‑admission and occupancy lists updated daily.
- Welcome new admissions and ensure they are comfortable and supported from the moment they arrive.
- Liaise with ambulance crews and guide them to the appropriate units.
- Build positive, respectful relationships with residents and families.
- Coordinate visiting schedules and complete required risk assessments.
- Manage incoming and outgoing post, deliveries, couriers, and transport arrangements.
- Order and distribute newspapers daily.
- Maintain safe‑keeping logs for resident valuables.
- Ensure all documentation complies with HIQA standards.
- Process residents’ small monthly bills and convalescent accounts accurately.
- Keep resident records, contracts, and consent forms up to date.
- Maintain brochures, tariff sheets, nursing forms, and admissions folders.
- Record and arrange transport for lab tests.
- Assist management and nursing staff with administrative projects.
- Photocopy, file, prepare documents, and support general office operations.
- Arrange flowers and prepare condolence letters with sensitivity and care.
- Provide reception cover for colleagues when needed.
- Assist staff with basic IT queries (e.g., log‑ins, printing, system use).
- Support day‑to‑day operation of office equipment and internal systems.
- Escalate IT issues where required and help facilitate smooth communication.
- Knowledge of AI and interest in improving efficiency of systems and procedures.
- Maintain mandatory training requirements.
- Follow Orwell Healthcare policies, procedures, and confidentiality standards.
- At least 1 year of experience in a receptionist or administrative role.
- Strong communication and interpersonal skills.
- A warm, professional approach when dealing with residents, families, and staff.
- Proficiency with Microsoft Office, including Excel.
- Comfort troubleshooting basic IT issues.
- Excellent organisational and time‑management skills.
- Ability to multitask and stay composed in a busy environment.
- A team‑player mindset and a genuine passion for helping others.
