This role holder will provide the full range of support to 11 nursing homes across Ireland. The role of Operations Administration is vital to ensure the smooth and efficient Operation of the Head office.This role is based on a 30 hour week.Role Overview:The role is responsible for the provision of operations and activities in the Head Office and daily communication with each Nursing Home in the group. As a key member of the Operations team, the role holder will demonstrate and facilitate effective communication with colleagues from all Departments. The position requires a collaborative approach and assistance in enhancing streamlining internal processes and communication structures, embracing continuous quality improvement and the change management necessary to achieve organisational objectives. The role holder needs to assist in the design and implementation of appropriate and robust internal and external communication systems..About the roleRoles and Responsibilities:Operations/ SLA Management:Ensure external service providers e.g. Housekeeping, Waste Management & Pest Control consistently meet the standards in a Service-Level Agreement (SLA) by monitoring performance, managing relationships with internal and external stakeholders, and coordinating efforts to improve service delivery.To review service level. In conjunction with the Estates and Facilities Manager, documenting agreements, monitoring performance against targets, providing detailed reports, and driving continuous improvement initiativesAssist CEO and Head Office Team, if and when required, with any duties, budgets, reports, presentations, agenda's, minutes of meetings, contracts, pricing, and tenders, external & internal audits.Administrative support to Operations Department; Liaise with Administration Staff in all Homes in assisting with general queries (Agency approval process, general communications from the Head office with internal and external stakeholders etc.)Administrative support in purchasing process within the Group (where appropriate) by sending out requests for proposals, filing responses and maintain communications and general queries between vendors and Silver Stream DepartmentsAssist CEO and other Departments in creating, managing and maintaining the Contract and SLA data base.Maintain Operational KPIs for the Business agreed between the Head Office and the Nursing Homes.Liaise with individual Nursing homes in relation to the operational activities, schedules and events.Create and manage a calendar of corporate events - e.g., Quarterly DON meetings, Governance Meetings etc.People Management· Understands the importance of prioritizing, accuracy and being highly organized.· Ability to build trust and credibility with colleagues including the ability to communicate accurately and efficiently via many different platforms.· Team player - enthusiastic with the ability to motivate self and others, promoting a positive culture in working environment.· Excellent, problem-solving skills. Dedicated to maintaining high quality business standards and practices.· Able to work under deadlines and capable of providing good quality and reliable documents & reports for Senior Management team.Essential Criteria:· Relevant 3rd level degree/qualification· Minimum 3- 5 years of relevant experience in a fast-paced environment· Strong IT literate in MS office (advanced MS Word and Excel is a MUST), Outlook, Power Point, Lucid Chart and any other IT platforms.· Ability to analyse data and converting into contextual reporting and trends is a MUST.· Quality management systems experience.· Strong interpersonal skills, good Team Player· Flexibility/adaptability.· Problem solving/solutions focused.· Communication and interpersonal skills.· Excellent written /numerical/analytical skills.· Committed to quality of work and process improvements.· Results Driven & Accountable.This list of duties is non exhaustive and may be amended to meet changing needs of the business.About the companySilver Stream Healthcare Group, established in 1993, is a leading Irish provider of residential care services.
