- Efficiently manage complex diaries, coordinating meetings, appointments, and travel arrangements.
- Prepare comprehensive travel itineraries and Business Development packs for business trips, tailored to the specific purpose of each trip and the clients or contacts involved.
- Produce and edit high-quality documents from digital dictation or handwritten notes, ensuring alignment with William Fry's house style.
- Oversee the billing process from initiation to completion.
- Prepare Business Development materials for client meetings, including conducting research, creating bios, and compiling relevant company information.
- Input and report Business Development data within our Interaction CRM system.
- Manage inboxes, calendars, and contact lists for Partners and Associates, prioritising correspondence and maintaining an organised contact database.
- Maintain both digital and physical filing systems, ensuring all documentation is accurately organised and up to date.
- Provide general administrative assistance including printing, posting, photocopying, and scanning, ensuring all tasks are completed efficiently and to a high standard.
- Assist with any ad hoc administrative tasks as required by allocated Partners or Associates.
- A minimum of 4 years' experience as a Legal PA or Secretary supporting senior professionals.
- Advanced proficiency in Microsoft Word, Outlook, Excel, and PowerPoint.
- Experience using document management, billing, and digital dictation systems.
- Strong organisational skills and the ability to re-prioritise tasks quickly and effectively.
- A flexible and proactive approach to work, with excellent attention to detail.
- Proven ability to handle information with discretion and confidentiality.
- A strong team player with a willingness to support colleagues and contribute to collective success.
