- Managing the day-to-day running of a busy reception area
- Managing all incoming phone and email enquiries efficiently and professionally
- Coordinating bookings, schedules, and room allocations for courses, trainers, delegates, and models
- Processing payments, invoices, and contracts related to room rental and services
- Assisting with event coordination including hospitality, catering, and conference room preparation
- Maintaining accurate administrative records, documentation, and filing systems
- Logging service requests for maintenance contractors and supporting operational requirements
- Monitoring and maintaining reception supplies and stationery
- Conducting monthly stocktakes for products and consumables
- Supporting communication management including newsletters, text messaging systems, and enquiries via social media
- Ensuring invoices are processed and submitted to accounts in a timely manner
- Maintaining a clean, organised, and professional reception environment at all times
- Proven experience in a fast-paced administrative or reception role
- Exceptional written communication skills with excellent grammar and attention to detail
- Highly IT proficient with strong experience using digital systems and administrative software
- Strong organisational skills with the ability to multitask and prioritise effectively
- Ability to work confidently on your own initiative as well as part of a team
- Professional presentation and strong interpersonal skills
- Experience managing bookings, schedules, and multiple stakeholders simultaneously
- Knowledge of Phorest booking system is an advantage
- Familiarity with social media platforms such as Instagram and Facebook for handling enquiries is beneficial
- Flexibility to support the team during busy periods when required
