Please visit our website:Job Descriptionthe Executive Assistant will coordinate proeject executive duties and provide general administrative support to the Team working on the major Rail project.The role includes the following duties:
- Building and maintaining strong relationships with key stakeholders
- Manage professional and personal scheduling for the Directors including agendas, mails, emails, phone calls, client management and other logistics
- Coordinate complex scheduling and calendar management, as well as content and flow of information to senior executives
- Plan and orchestrate work to ensure that senior executives priorities are met
- Preparation of presentations and reports
- Organising meetings and workshops
- Screening and prioritisation of emails of Project Director
- Meeting and greeting visitors at all levels of seniority
- Taking meeting minutes
- Handling enquiries and requests
- Preparing of letters
- Screening telephone calls
- Taking messages and following up
- Assisting with travel arrangements
- Implementing and maintaining procedures and administrative systems
- Printing, copying and filing
- Setting up of purchase orders
- Liaising with staff from other departments
- Other duties and responsibilities appropriate to the position
- Knowledge and awareness of the importance of being a representative for the major Rail proejct
- Excellent verbal and written communication skills
- Attention to detail
- Skill in preparation and compilation of reports
- Skill in preparation and compilation of presentations
- Experience of working in a role where discretion and confidentiality are essential
- Experience of working with diverse teams
