- Provide a professional and welcoming meet and greet service to clients and visitors
- Ensure reception and client areas are presented to a 5-star standard at all times
- Represent the firm with professionalism, discretion, and confidence
- Manage visitor sign-in procedures in line with firm policies
- Answer incoming calls promptly and courteously
- Direct calls accurately and efficiently to the appropriate fee earners or departments
- Take detailed and accurate messages when required
- Manage overflow calls during busy periods
- Coordinate booking of meeting rooms
- Prepare meeting rooms to a high standard, including layout and presentation
- Set up required IT and audio-visual equipment (video conferencing, screens, conference phones)
- Arrange refreshments and catering as required
- Reset rooms promptly following meetings
- Arrange and track courier deliveries and collections
- Manage incoming and outgoing mail
- Liaise with delivery providers and internal teams
- Provide ad hoc administrative support as required
- Previous experience in a law firm or professional services firm (essential)
- Experience in a front-of-house or receptionist role
- Professional presentation and demeanour
- Excellent verbal and written communication skills
- Strong organisational and time-management abilities
- High attention to detail
- Confident using Microsoft Office and meeting room technology
- Ability to multitask and remain calm under pressure
- Discretion and understanding of confidentiality within a legal environment
- Client-focused with a service-first mindset
- Reliable, punctual, and proactive
- Positive and approachable manner
- Able to work independently and as part of a team
