- Manage incoming calls and emails, logging service requests and emergency callouts.
- Liaise with clients, engineers, and subcontractors to coordinate responses.
- Represent the company professionally as a first point of contact.
- Schedule planned maintenance visits and manage access requirements.
- Coordinate service calls and ensure all stakeholders are informed.
- Work closely with the Operations Manager and Director on helpdesk processes and improvements.
- Process and maintain central storage of service call data, daily sign offs, and maintenance reports.
- Ensure all documentation meets company and client standards.
- Issue invoices (maintenance and callouts), ensuring accuracy with client requirements such as PO numbers.
- Prepare and distribute risk assessments, training records, and safety documentation.
- Collect, track, and prepare reports on service status and helpdesk performance.
- Support the ongoing development of helpdesk workflows and reporting systems.
- Proven experience in Facilities, Helpdesk Administration or Coordination required.
- Strong organisational and multitasking abilities.
- Excellent communication skills, both written and verbal.
- Confidence working in a fast paced, client facing environment.
- Proficiency with MS Office; familiarity with CRM or service management systems.
- €35,000 - €40,000 per annum
- Dublin 17 - North Dublin with Parking
