Job Description:About the RoleThis is a planning, coordination and client-management role within a busy four-star wedding and events venue.You will manage weddings and events from enquiry through to delivery, guiding clients through decisions, coordinating departments, and ensuring the event runs exactly as planned.This is not a styling or purely creative position. The role requires organisation, clear communication and the ability to manage multiple priorities simultaneously.The position best suits someone currently working within an events, conference & banqueting or venue environment who is ready to take ownership of their own events.Key ResponsibilitiesClient Management * Act as the primary contact for wedding and event clients
  • Lead planning meetings and venue show-rounds
  • Advise clients on timelines, logistics and operational decisions
  • Manage expectations professionally and confidently
  • Respond to queries accurately and efficiently
Many clients will be unfamiliar with planning, the coordinator must be comfortable leading conversations and providing guidance.Event Planning & Coordination * Build, update and maintain accurate BEOs and event documentation
  • Coordinate event details with all hotel departments
  • Create timelines and communicate plans clearly to operations teams
  • Manage suppliers and pre-event preparations
  • Oversee events on the day and resolve issues calmly
This role requires strong attention to detail. Accuracy directly impacts service delivery.Professional Standards & Ownership * Produce contracts and client documentation accurately
  • Maintain organised and up-to-date event files
  • Prepare planning schedules and operational reports
  • Uphold brand and service standards across all events
  • Support showcase events and promotional activity when required
You will be expected to work independently and identify potential issues before they affect the event.Performance & Accountability * Work towards departmental performance targets
  • Monitor planning milestones and client progress
  • Ensure departments receive correct event information
  • Take ownership of problems and resolve them efficiently
Event Day ResponsibilityOn event days you act as the organiser and decision-maker. You will: * Coordinate suppliers and departments
  • Adapt plans where necessary while maintaining service standards
  • Represent the hotel professionally to guests and clients
  • Ensure the agreed schedule is delivered successfully
Essential Requirements
  • Previous experience in a hotel, venue or event environment
  • Experience dealing directly with clients in a professional setting
  • Excellent written and spoken English
  • Strong organisational and prioritisation skills
  • Ability to manage multiple tasks simultaneously
  • Confident using email, documents and scheduling systems daily
Desirable Experience
  • Weddings or large-scale events
  • Creating function sheets / event orders
  • Coordinating suppliers
  • Hospitality PMS or event systems
Working HoursThis is a hospitality role and includes:
  • Weekend work
  • Some evenings
  • Event day supervision
