Skills Team - Support role across Screen Stakeholders & National Talent AcademiesGrade: Executive OfficerReports to: Skills Development Executive/Head of Skills and Professional DevelopmentHours: 35 hours per weekDuration: 3 monthsAbout the Skills and Professional Development TeamThe Skills and Professional Development Department offers a wide range of courses, programmes, and events as well as funding supports and sectoral initiatives to support individuals at every stage in their career and to enable the long-term development of a flourishing, sustainable Screen sector. Our offering includes short courses, online modules, mentoring, work placements, certificates and diplomas. We also provide also funding for Bursaries, Skills Development Events, and larger Learning Initiatives through our Stakeholders Programme. In addition, we run many sectoral initiatives including projects on: AI; a database for Screen Crew and Services; Gender, Equality, Diversity, and Inclusivity, (GEDI), Engaging the Next Generation, the National Talent Academy network, Recognition of Prior Learning, Sustainability and Work-Life balance).Key ResponsibilitiesWork with the Skills Development Executive for Film TV and Sectoral Development to support their work and meet the objectives of the team.· Specifically, providing general administrative, logistical and organisational support across a range of areas, including, but not limited to the following:Finance· Raising POs, ensuring accuracy and sending to Head of Skills to sign-off.· Signing off on invoices and sending to Finance for payment.Data Collection & ReportingCollating and reviewing data across a range of internal and external sources to sources to prepare reports.· Specifically, collating data across the Stakeholders Fund and National Talent Academies to update on targets, inform reports to the Board, address queries which are raised, filing and sharing reports as appropriate as well as improving templates and processes.Systems Support and DevelopmentLiaising with IT Team and users to ensure smooth running, development and transition of processes for Screen Stakeholders Scheme and NTAs to ASTARS.· Specifically, responding to user issues and queries, and liaising with internal and external stakeholders and IT to support migration of current processes to the new system.Funding SchemesAdministration of our funding schemes including Screen Stakeholder Funding Scheme and National Talent Academies.· Specifically, replying to queries on the scheme, review of applications for eligibility, organising panel meetings, recording minutes and decisions, notifying applicants, processing payments and tracking progress and issues.Collaboration with other DepartmentsLiaise with other departments (Finance, Marketing and Business and Legal, but also Production and Development and Inward Development) as required.· Support the work of HEOs & EOs within the Skills team if required to cover annual leave.Key Requirements Essential· Bachelor's degree.· Minimum 3 years' experience.· Strong analytical skills: Able to analyse information and/or research a topic and develop conclusions/recommendations.· Strong process orientation: Able to improve current processes and develop more systematic approaches to our work.· Strong planning and organisational skills.· Strong IT Skills (MS Office, MS Teams, willing to learn new systems and to liaise with technical contractors and developers).· Good team player - able to work well with others to achieve a result.· Strong interpersonal and/or customer service skills.· Communicates well in-person and on paper.· Strong attention to detail.· Able to complete work on time to a high standard.· Able to work without supervision.· Committed to their own learning and progression.· Acts with honesty, integrity and a commitment to serve.Desirable Attributes· Experience in an administrative/office manager type role.· Experience in the Screen Sector or related sector.· An interest in training, learning, skills and people development.· An interest in working in the Screen Sector.· Project Management or Design Thinking experience would be especially welcome.· A proficient level of Irish.· A motivated, dynamic, can-do attitude and be able to work under pressure with a professional attitude.· An innovative, creative, and entrepreneurial approach to developing new initiatives.· Someone who enjoys improving and developing systems and processesReach out to Shauna today with updated CV
