We are seeking a highly organised and detail-oriented Transport Administrator to support day-to-day operations within the transport department on an initial 6 month basis. The ideal candidate will be responsible for maintaining accurate records, liaising with internal and external stakeholders, and ensuring compliance with operational and safety requirements.Location: TivoliWorking hours: 9am-5pmContract length: 6 months to begin withKey Responsibilities:
  • Administrative Support: Maintain accurate and organised records, including delivery dockets, truck files, and essential documentation.
  • Compliance Management: Monitor and maintain vehicle inspection processes, accident reports, and defect reports.
  • Data Management: Ensure driver and vehicle records are current, including holiday schedules, absences, and contact information.
  • Communication: Handle calls to address queries efficiently and support transport managers with timely communication and task coordination.
  • Payroll Assistance: Process employee and agency worker hours to ensure wage accuracy.
  • Reporting: Prepare various reports, such as driver hours, stock figures, telematics data, invoices, and audits, to support transport operations.
  • Regulatory Compliance: Maintain records and security documentation for key suppliers and ensure HSA requirements are met for driver attendance records.
  • Order Management: Place orders with suppliers and maintain stock levels, including PPE distribution and recordkeeping.
  • Training Coordination: Maintain training records, schedule courses, and inform the Transport Manager of training opportunities.
  • Fleet Management: Oversee test dates and renewals for tax, CVRT, ADR, and periodic assessments. Ensure bookings and certification issuance are properly managed.
  • Operational Support: Manage driver rosters, availability schedules, and daily operational updates.
  • Health & Safety: Ensure PPE stocks are maintained, correctly issued, and recorded in line with QHSE guidelines.
  • Noticeboard Updates: Keep business information boards current and relevant.

  • Familiarity with transport operations is advantageous
