To provide administrative assistance to the CE Supervisor in overseeing all aspects of the CE scheme within MS Ireland Role Specific To assist the CE Scheme Supervisor with the administration of the Community Employment Project according to the Community Employment Operating Guidelines. Key Responsibilities: To assist the CE Supervisor in sourcing and costing effective training/development. To ensure that all HR files are up to date for each individual participant. To update the Individual Learner Plan for each participant on the scheme on Welfare Partners. To assist in the preparation of financial returns i.e. wages, accounts, materials and participant development grant Claims. To assist the Supervisor in monitoring and evaluating training inputs with both the participants and training providers. To assist in the business administration of the project as directed by the CE Supervisor and Sponsor. To assist in planning and coordinating the agreed/approved work schedules for participants. Carry out all functions relevant to the position of CE Assistant Supervisor as directed by the Sponsor. To fully participate in training provided by the Sponsor and DSP. To assist the CE Supervisor with the scheduling of one-to-one meetings with participants. Provide effective Supervisory cover in the absence of the CE Supervisor as directed by the Sponsor. Point of contact for CE Participants when CE Supervisor is unavailable. To assist the CE Supervisor and Sponsoring Organisation with any other duties which may be required from time to time. To assist the organisations collection of data as requested. Candidate Requirements: Good IT skills. Experience in supporting training and development activities is desirable. Previous office management/supervisory experience desirable. Excellent communication skills, written and oral. Excellent interpersonal skills. Ability to direct, motivate and mentor participants. Ability to prioritise tasks and excellent attention to detail. Commitment to confidentiality and adhere to current GDPR Regulations. Experienced team player.
